Email Templates & Placeholders

All nine templates, when they are used and every available placeholder.

How templates work

DoorFall automatically chooses the matching template when a booking event occurs. Edit the Subject and Message for each template and use Preview email to check the result with sample data.

Booking created

Customer — Booking confirmation

Sent after a successful booking when the booking is confirmed.

Admin — New booking notification

Sent to the Admin email when a new booking is created.

Booking rescheduled

Customer — Booking rescheduled

Sent after the appointment moves to a new time.

Admin — Booking rescheduled

Notifies Admin when a customer changes an appointment.

Booking cancelled

Customer — Booking cancelled

Sent after cancellation.

Admin — Booking cancelled

Notifies Admin about the cancellation.

Customer follow-up

Customer — Booking received / pending

Used when new bookings require administrator confirmation.

Customer — Booking reminder

Used for booking reminders.

Customer — Booking status changed

Sent when Admin changes a booking status. Cancellation uses the dedicated cancellation template.

Placeholders

{business} — Business name.

{customer} — Customer name.

{service} — Service name.

{date} — Current appointment date.

{time} — Current appointment time.

{email} — Customer email.

{phone} — Customer phone.

{manage_url} — Secure customer booking-management link.

{calendar_url} — Link to the booking .ics calendar file.

{old_date} — Previous date for reschedule messages.

{old_time} — Previous time for reschedule messages.

{status} — Current booking status for status-change messages.

Clicking a placeholder chip copies it for convenient insertion into a subject or message.

TIPKeep {manage_url} in customer confirmation, pending, reschedule and reminder messages so customers can easily return to their booking.
